7th Annual EXPO
September 9th, 2009 - Wednesday
11:00am - 1:30pm
Crowne Plaza Hotel - Austin Texas

This event was developed to allow a venue where the engineers can network with our vendor members & other engineers in an informal environment.  Vendor members are encouraged to participate by committing to an exhibit table as noted by the guidelines below.  Last year was very successful with over 200 engineers & manager in attendance.  We anticipate more attendees this year due to expanded marketing efforts.  AAFAME will sponsor the grand prize worth $1000 at the end of the event to help increase attendance.  We have booked the entire ballroom at the Crowne Plaza Hotel so that we will have plenty of room for the event.  This years theme will be "New Horizons" and we encourage our vendor members to promote products & services that are new and emerging trends!

ALL vendors are encouraged to participate in this event in support of AAFAME. (While vendors may choose not to sponsor this event, only sponsoring vendor members may attend the EXPO.)

New this year:
• We will be targeting other organizations such as BOMA, IFMA, IREM & TAHFM for more attendees!
• We added 15 more exhibit tables with new and improved layout - 15 of those tables will be considered premium locations!
• Food will be served to the vendors prior to the event starting @ 10:30 am
• Each vendor can only have TWO representatives per exhibit table!
• Internet & Electricity will cost extra this year
• We need vendors to supply bags with their logos at the registration table so that AAFAME does not have to provide them (available option on registration form).
• Placement of the tables will be the responsibility of the EXPO Committee - vendors will not be allowed to pick table numbers.  We will assure competitors will not be placed next to each other.

Exhibit Guidelines:
• The EXPO will take the place of our regularly scheduled September luncheon.  There will be no speaker, the intention is to provide a venue for member interaction (engineer and vendor primarily).
• The EXPO will begin @ 11:00 and continue until 1:30 pm.  You will be allowed to start setting up your table @ 10:00.
• The event is designed to allow engineers to come and go during the 2.5 hour period to provide time for them to get back to the buildings and allow other engineers to attend the event also.
• Sponsoring vendors will be provided a 6’ table with skirt for display of marketing materials.  Each table will have two chairs.
• NO Backdrops will be allowed – period.  Table top displays are okay as long as they fit on the 6’ table.  This will be monitored by event coordinators and you will be asked to remove the backdrop if present.   While creativity of the sponsoring vendors is encouraged, no extensive displays are allowed; this is not a trade show.  Display of photos and demo boards are acceptable.
• Vendors are encouraged to distribute marketing materials as well as promotional materials with logos such as pens, note pads, hats, shirts, cups, mugs, etc (order your materials now).
• Vendors are encouraged to donate door prizes drawings valued @ $50 and higher to be called from the podium – prizes to be placed a the prize table prior to the show – include business card for identification.  Drawings to be held at 12:00 and 12:45.  Grand prize drawing at 1:30pm.
• We will collect business cards from ALL participants when they register to conduct the door prize drawings.  This will eliminate duplicate winners.  Vendors can collect business cards at their table if they wish but the podium drawings will be conducted from business cards turned in at registration.  Need be present to win for the door prize drawings.
• Vendors will receive a complete list of attendees after the event.
• Literature set up and removal shall be the responsibility of the sponsoring vendor.
• AAFAME will sponsor the grand prize drawing valued at $1000 engineers & managers only.  Participants need not be present to win the grand prize to allow them to get back to the building if needed. 
• To encourage the engineers & managers to visit the vendor tables they must have 25 vendors stamp their cards to be eligible for the grand prize.
• Table assignments shall be responsibility of EXPO coordinator.  Inside aisle tables will be at a premium rate and will sell to the first companies that fill out form.
• Sponsoring vendors are encouraged to bring their own signs for their tables as long as they fit on the table although AAFAME will provide a modest 6” x 18” table sign for table identification.
• Electricity & internet is available with prior notice and for an additional fee.
• The sponsorship fee includes buffet lunch for two representatives.
• Each vendor is limited to only two representatives to allow for more room for intended targets.
• Only vendor members can participate.
